Introduction

In the newest version of Pocket (2.27), you’ll now have the addition of using Supervisions. This document outlines how to use Supervisions.

Accessing Supervisions

To access Supervisions on Pocket firstly log into Pocket, navigate to the Staff Menu and select More Options, within this screen you’ll be able to access Supervisions:

If you’ve never used Supervisions before and you’re using Pocket on a device that hasn’t be registered using a Staff Pocket Code, you’ll be prompted to create a password. Passwords must be 6 or more characters:

Once you’ve created your supervision password, you will be navigated to Supervisions Landing page:

On the Supervision Dashboard screen you’ll have the option to view Supervisions as an Employee or as a Supervisor and Change Password. The option to view Supervisions as an Employee/Supervisor will only show if you’re undergoing as Supervision or performing a Supervision on another Employee.

Accessing as an Employee:

On the Employee Dashboard screen, you’ll be able to review your current Supervision and can view historic Supervisions, this screen provides some information such as Progress, Status, who your supervisor is and so on.

When you open a current supervision, you’ll be presented with the above screen, this screen is known as the main supervision screen. From this screen you’ll be able to access Actions, Questions and Actions to Carry Over, you’re also able to mark the supervision for complete and add employee comments.

To access Actions, Questions and Actions to Carry Over, tap the dropdown and it’ll expand the section for you to view the contents:

To enter any of these areas to complete, simply tap the option from the list.

Statuses & Flow of Statuses

Supervisions on Pocket relies on the order of Status:

Not Started – The Supervision has not been accessed and no information has been inputted onto the supervision.

Started – The Supervision has been accessed and information has been inputted into it. With this stage as soon as questions/actions have been answered Pocket will allow you to progress to the next state.

Employee Complete – The Supervision is now Read Only to the Employee; this is the stage where the supervisor must go in and complete any actions/questions that are for them.

Propose Complete – Once the Supervisor is happy that everything has been met and has completed their questions/actions this is the stage where the Employee can either Reject or Complete the Supervision.

Completed – Read Only stage, means the supervision is fully complete.

Actions:

Actions are tasks that can be assigned to either Employee, Supervisor or Both. To enter an action as explained above press the Actions Dropdown and select an action from the list. After you’ve selected an Action, you’ll be presented with this screen:

When within an action you’re presented with the Category of action, its detail, the ability to adjust the status and progress. When an action is created on Care Control Windows you have the option to specify some Guidance – this can be viewed from pressing the Guidance button located in the bottom left, which will open the below popup:

Within the Guidance popup you’re able to view the guidance provided and view the attachment detail. An attachment can be either a Web Address or a Document Attached from Document Library, more information regarding this can be found in the Supervisions on CC Windows article under the section of action templates.

Questions

Questions are accessed the same way as actions but by expanding the questions dropdown, once you’ve clicked into a question you’ll be presented with the following screen:

The question screen will allow you to answer the question, raise an action and just let you cycle through the questions. If you do not select an answer/answer in the answer box it’ll cycle to the next question.

Raising an Action

When you press Raise Action, you’ll be presented with the following pop up on the screen:

On this screen you’re able to raise a new action for the current supervision or propose to carry over to the next supervision (more information around carrying over actions can be found in the carry over actions part of the release notes). Once you’ve added the action it’ll appear in the actions to be complete area, if you’ve set this new action for Propose to Carry Over the Supervisor can mark it for Carry Over.

Progressing to Employee Complete:

Once you’ve completed everything required the Supervision Main Screen should look like the below:

Once you’re complete if you mark the supervision as complete and press save this will elevate the status of the Supervision to Employee Complete. This means that the Supervision will now be read only to the employee and its now up to the supervisor to complete tasks.

Accessing as a Supervisor:

When accessing as a supervisor you’ll be presented with a supervisor button on the Supervision Dashboard:

When you click into the Supervisor Dashboard, you’ll have the option to access any supervision that you’re assigned, you also have the option to view historic and search through the supervisions:

Once you have clicked into a supervision, you’ll be presented with the same main supervision screen as employees get:

On this screen the Supervisors can complete Actions and Questions that are for them, however for the Supervisor to progress the stage of the Supervision they must have no actions and no questions left to be completed.

Carrying over Actions

Supervisors can mark an action for carry over, this means that when the supervision is complete, and another supervision is created for the employee the carried over actions will appear as actions to be complete. Supervisors can do this by opening the action that has been marked as Propose Carry Over (these are indicated in the Action list with a small question mark icon):

Once the action has been marked as Carry Over, it’ll appear in the Carry Over area of the main supervision dashboard:

Rejecting Employee Complete

As a supervisor you might want to reject the employee complete status and send the supervision back to the Started state, this is possible by selecting the Reject option from the dropdown:

Once you have selected the Reject option, if you press Save, you’ll be presented with the following box asking to specify a reason for the rejection:

When the reason has been entered and you press Proceed this will move the Supervision back to the status of Started meaning the Employee will have to read the reason of why its rejected in the logs.

Viewing the Supervision Log

Both employee and supervisor can review the supervision log from the main supervision screen:

Ticking the Show Access Log box will show when the employee or supervisor last accessed the supervision.

Propose Complete

If the supervisor doesn’t reject the supervision and instead marks it as Propose Complete, it is now time for the employee to go into the supervision, they will now be presented with the following options:

If the employee rejects the completion this will set the supervision back to the status of Started, allowing the employee to edit actions, answer questions and add any comments they would like. However, if the employee presses accept this will mark the supervision as Complete.

When an employee rejects completion, they’re presented with the same prompt to add a reason similar to when the supervisor rejects.

Completion:

Once the supervision has been marked as complete, the employee will be bought back to the supervision home, and you’ll see the recently completed supervision as a historic supervision:
